Quick Start Guide

Welcome to Tendrex! This guide will walk you through setting up your account and responding to your first tender in just a few minutes.

Before you begin, ensure you have:

  • Application Access: Access to your Tendrex environment (e.g., https://app.tendrex.co.uk).
  • Reference Materials: At least 3-5 reference documents (PDF, Word) to build your initial knowledge base.
  • A Tender Question File: An Excel (.xlsx) or Word (.docx) file containing questions you need to answer.
  1. Secure Sign In: Log in using your Microsoft account via SSO. This will automatically link you to your organisation’s secure tenant. Your account and role are provisioned automatically.
  2. Build Your Knowledge Base: Navigate to the Source Documents section. Drag and drop your company policies, case studies, and previous bid responses.
  3. Automated Indexing: Tendrex extracts text, splits it into overlapping chunks (~500 tokens), and creates vector embeddings for semantic search. This typically takes just a few seconds per file.

Follow these steps to generate AI-powered responses for a new tender submission.

Go to the Tenders tab and click New Tender. Fill in the details:

  • Name and Organisation (required)
  • Deadline with date and time
  • Contacts, portal details, reference number (optional)
  • Estimated value, contract duration, lots, tags (optional)

Upload your tender question file (Excel or Word). Tendrex auto-detects column types (question text, section, reference, max score, word limit) and extracts metadata like scoring type and guidance notes. Review the column mapping and adjust if needed.

Click Process to start AI answer generation. The AI uses a priority chain:

  1. Canonical answers from your approved library
  2. Historical responses from past tenders
  3. RAG from your uploaded source documents
  4. AI fallback when no strong matches exist

Each answer includes a confidence score (High/Medium/Low) and source citations.

Open the Review page to step through each answer in a dedicated full-screen interface. You have six actions:

  • Approve: Confirm the answer and add it to your answer library.
  • Edit: Refine the draft, then approve the edited version.
  • Reject: Discard the AI answer with a comment explaining why.
  • Provide: Write a custom answer without AI assistance.
  • Assign: Route the question to a specialist team or individual.
  • Not Required: Mark the question as not applicable.

Use AI-assisted editing to improve, expand, condense, formalise, bullet-point, or strengthen any answer before approving. Add threaded comments for team discussion on individual answers.

Use keyboard shortcuts to navigate between questions and the split panel to view source documents alongside answers.

When your answers are finalised, export the tender to DOCX or PDF format for submission. Track compliance items, record the submission, and log the outcome for future analysis.
