Managing Teams

Teams in Tendrex help you distribute tender questions to the right people. Combined with AI auto-classification, questions are automatically routed to specialist teams based on their topic.

Tendrex has five user roles, each with a personalised dashboard and appropriate access:

  1. Navigate to Users & Teams in the sidebar.
  2. Click New Team.
  3. Enter a team name - e.g. “Security”, “Legal”, “Commercial”, “ESG”.
  4. Add a description and expertise tags to define the team’s specialisation.
  5. Add team members by searching for users in your organisation.
  6. Assign member roles: Lead or Member.
  7. Click Save.

Teams can be tagged with one or more expertise areas:

  • Technical - architecture, infrastructure, integrations
  • Security - information security, cyber, data protection
  • Legal - contractual terms, liability, compliance
  • Commercial - pricing, financial standing, insurance
  • ESG - environmental, social, governance, sustainability
  • Operations - delivery, logistics, operational processes
  • HR - staffing, training, qualifications

These tags are used by the AI auto-classification system to route questions to the right team.

When questions are uploaded, Tendrex automatically classifies each one by topic using AI. Topics are matched to your teams based on their expertise tags:

  • A question about data protection policies is classified as Security and routed to the Security team.
  • A question about sustainability commitments is classified as ESG and routed to the ESG team.
  • Questions that do not match a specific team are classified as General.

Each user has a personal My Queue view showing:

  • Questions assigned directly to them
  • Questions assigned to their teams
  • Status of each question (pending, in progress, completed)

Team members can claim individual questions from the team queue to work on.

Each team has a question queue showing:

  • Questions assigned to the team (both manually and via auto-classification)
  • The status of each question
  • The team member who claimed each question
  • Workload distribution across team members

Team leads can reassign questions between members or back to the general queue.

Admins can invite new users to the organisation:

  1. Navigate to Users & Teams.
  2. Click Invite User.
  3. Enter the user’s email address and assign a role.
  4. Copy the invite link or send it directly.

New users who sign in via Microsoft SSO are automatically linked to the organisation based on their Azure tenant.

Tendrex keeps team members informed with an in-app notification system:

  • Notification bell in the header with unread count.
  • Notification types: Invitations, question assignments, review actions, tender submissions, and status changes.
  • Mark as read individually or in bulk.
  • Email notifications are also sent when email is configured, so assignees are alerted without needing to check the app.

Admins can customise the organisation from Organisation Settings:

  • Branding: Upload custom logos, set brand colours, and configure the display name.
  • Dashboard defaults: Set default dashboard layouts per role so new users start with the right view.
  • Dark mode: Users can toggle between light and dark themes.
